Getting Started

How to Sign Up

Signing up to Lokaly takes less than 5 minutes:

  1. Visit merchant.lokaly.co.uk/signup
  2. Enter your email address and create a password
  3. Add your business details (name, address, category)
  4. Upload your logo and cover image
  5. Submit for approval

Once approved, you'll receive your NFC tags by post within 3-5 working days.

Dashboard Guide

Navigating Your Dashboard

Your merchant dashboard at merchant.lokaly.co.uk is where you manage everything. Here's what each section does:

  • Home — Overview of recent activity, stamp collections and reward redemptions
  • Loyalty Cards — Create, edit and manage your digital stamp cards
  • Customers — View your customer list, see visit frequency and identify VIPs
  • Analytics — Charts showing visit patterns, busiest times and programme performance
  • Campaigns — Set up birthday treats, win-back campaigns and scratch-and-win
  • Offers — Create and publish deals to the Lokaly marketplace
  • Settings — Update business details, manage staff accounts and billing

Adding Staff Accounts

Your plan determines how many staff accounts you can create:

  • Starter: 1 account
  • Growth: 5 accounts
  • Power: 10 accounts

To add a staff member:

  1. Go to Settings → Staff
  2. Click Add Staff Member
  3. Enter their email address
  4. Choose their permission level
  5. They'll receive an invitation email

Staff accounts can confirm stamp collections and reward redemptions but cannot access billing or delete customers.

Stamp Cards & Rewards

Creating a Stamp Card

  1. Go to Loyalty Cards → Create New
  2. Choose your card style and upload a background image
  3. Set how many stamps earn the main reward (e.g., 10 stamps)
  4. Define your reward (e.g., "Free regular coffee")
  5. Add custom stamp icons if desired
  6. Click Publish

Your card is now live in the Lokaly app.

Setting Up Interim Rewards

Interim rewards keep customers engaged before they complete the full card. For example:

  • 3 stamps → 10% off next purchase
  • 5 stamps → Free upgrade
  • 8 stamps → £2 off

To add interim rewards:

  1. Edit your loyalty card
  2. Scroll to Interim Rewards
  3. Click Add Reward
  4. Set the stamp threshold and reward description
  5. Save changes

Note: Interim rewards are available on all plans.

Reward Best Practices

Do:

  • Make rewards achievable (8-12 stamps is ideal)
  • Offer something customers genuinely value
  • Use interim rewards to maintain engagement
  • Keep reward descriptions clear and specific

Don't:

  • Set thresholds too high (customers lose motivation)
  • Offer rewards with too many conditions
  • Change rewards frequently (confuses customers)

NFC Tags

What's in Your Welcome Pack

When you sign up, we'll post you:

  • Your NFC tag(s) — depending on your plan
  • Retractable lanyard(s) for each tag
  • A QR code card linking to app download
  • Quick-start guide for staff

How the Lanyard System Works

Unlike other loyalty systems that leave a tag unattended on the counter, Lokaly tags are worn by your staff on retractable lanyards. Here's how it works:

  1. Staff wear the lanyard around their neck
  2. When a customer wants to collect a stamp, staff pull the tag towards the customer
  3. The customer taps their phone on the tag
  4. Staff release the tag and the retractable wheel rewinds automatically

This takes about 2 seconds — faster than handing over a paper card.

Why Staff-Controlled Tags?

The lanyard system provides built-in fraud protection:

  • No unsupervised tapping — stamps can only be collected when staff present the tag
  • Staff always in control — the tag stays with them at all times
  • No counter clutter — nothing sitting on your till point
  • Mobile staff — works anywhere in your premises, not just at the till

This means no sneaky taps when staff aren't looking, no customers "accidentally" tapping twice, and no tags going missing.

Setting Up Your Tags

Setup is instant:

  1. Remove the tag and lanyard from packaging
  2. Attach the tag to the retractable lanyard clip
  3. Staff wear the lanyard
  4. That's it — ready to collect stamps

No Wi-Fi, batteries or till integration required. The NFC chip works independently.

How Many Tags Do You Need?

Each staff member on shift should have their own tag. Your plan includes:

NFC Tag Troubleshooting

Customer's tap didn't register:

  • Hold the tag steady while the customer taps
  • Ensure the phone touches the tag flat (not at an angle)
  • Check the customer has NFC enabled on their phone
  • Some phone cases can block NFC — customer can try tapping with the back of their phone
  • If issues persist, try a different tag

Tag stopped working:

  • NFC tags don't need batteries, so failures are rare
  • Check for physical damage to the tag
  • Try the tag with a different phone to isolate the issue
  • Contact support@lokaly.co.uk for a replacement

Campaigns

Birthday Treats

Automatically reward customers on their birthday:

  1. Go to Campaigns → Birthday Treat
  2. Toggle Enable Birthday Campaign
  3. Set your birthday reward (e.g., "Free slice of cake")
  4. Choose when to send (on birthday / week before)
  5. Save

Customers provide their birthday when signing up to Lokaly. The reward is delivered automatically — no action needed from you.

Win-Back Campaigns

Re-engage customers who haven't visited recently:

  1. Go to Campaigns → Win Back
  2. Set the inactive period (e.g., 30 days)
  3. Create your win-back offer (e.g., "We miss you! 20% off your next visit")
  4. Toggle Enable

Lokaly automatically sends this to customers who haven't collected a stamp within your set period.

Note: Win-back campaigns are available on Growth and Power plans.

Scratch and Win

Add a fun, gamified element to your loyalty programme:

  1. Go to Campaigns → Scratch and Win
  2. Set how often customers can play (e.g., once per week)
  3. Define prizes and win probabilities
  4. Toggle Enable

Customers see a scratch card in the app with a chance to win bonus stamps or rewards.

Nearby & Offers

How 'Nearby' Works

Every Lokaly merchant appears in the app's Nearby section. When customers open the app and browse for cafés, salons or shops in their area, your business appears on the map and in listings.

This happens automatically — you don't need to do anything. As soon as your account is approved, you're visible to every Lokaly user in your area.

Going Featured

Want to appear at the top of Nearby listings? Go Featured:

  1. Go to Nearby → Go Featured
  2. Choose your duration (day, week, month)
  3. Confirm payment
  4. You're now at the top of local search results

Featured placement is ideal for:

  • New business launches
  • Seasonal promotions
  • Slow days you want to boost
  • Special events

Publishing Offers

Create deals that appear in the app's Offers section:

  1. Go to Offers → Create New
  2. Write your offer headline (e.g., "50% off all drinks, Mondays only")
  3. Add details and any terms
  4. Set start and end dates
  5. Choose whether to feature the offer (paid boost)
  6. Publish

Offers appear to all Lokaly users browsing deals in your area. Unlike email marketing, customers actively browse Offers when they're ready to spend.

Analytics

Understanding Your Dashboard Analytics

Your analytics dashboard shows:

  • Visit Frequency Chart — How often customers return
  • Stamps vs Rewards Chart — Collection and redemption rates
  • Weekly Heat Map — Your busiest days and times
  • Recent Activity — Real-time stamp and reward events

Key Metrics to Watch

Average stamps per customer per month — Industry benchmark is 5-7. If yours is lower, consider interim rewards.

Redemption rate — What percentage of earned rewards are actually redeemed? Low rates may indicate rewards aren't compelling enough.

Customer return rate — How many customers come back within 30 days? This is your core loyalty metric.

New vs returning — Healthy programmes have a mix of new customers joining and existing customers returning.

Account & Billing

Changing Your Plan

To upgrade or downgrade:

  1. Go to Settings → Subscription
  2. Click Change Plan
  3. Select your new plan
  4. Confirm

Upgrades take effect immediately. You'll be charged the prorated difference.

Downgrades take effect at the end of your current billing period.

Updating Payment Details

  1. Go to Settings → Billing
  2. Click Update Payment Method
  3. Enter new card details
  4. Save

We accept Visa, Mastercard and American Express.

Cancelling Your Account

We're sorry to see you go. To cancel:

  1. Go to Settings → Subscription
  2. Click Cancel Subscription
  3. Confirm cancellation

Your account remains active until the end of your billing period. Customer data is retained for 30 days in case you change your mind, then permanently deleted.

Marketing Your Programme

Promoting Lokaly to Your Customers

The most successful merchants actively promote their loyalty programme. Here's how:

In-store:

  • Ensure staff wear their lanyards visibly
  • Display the QR code poster near the till
  • Train staff to offer stamps at checkout
  • Add a line to receipts: "Collect stamps on Lokaly!"

Online:

  • Add a loyalty section to your website
  • Share on social media when you launch
  • Include in your email signature
  • Mention in your Google Business Profile

Conversation starters for staff:

  • "Are you collecting stamps with us?"
  • "Have you got Lokaly? You're only 3 stamps away from a free coffee!"
  • "If you download the Lokaly app, you can start earning rewards today"
  • "Would you like to tap for your stamp?" (while presenting the tag)

Downloadable Marketing Materials

Log into your dashboard to download:

  • Counter tent cards
  • A4 posters
  • Social media graphics
  • Email templates
  • Website badge

Go to Settings → Marketing Materials.

Troubleshooting

Customer says their stamp didn't appear

  1. Ask them to check for a Pending stamp — this syncs when they're back online
  2. If no pending stamp, check your dashboard for recent activity
  3. Have them tap again, ensuring phone is flat against the tag
  4. If issues continue, they can contact support@lokaly.co.uk

Reward was redeemed but I didn't confirm it

This shouldn't happen — rewards require a confirmation tap. If you believe a reward was fraudulently redeemed:

  1. Check Analytics → Recent Activity for the redemption event
  2. Note the customer ID and timestamp
  3. Contact support@lokaly.co.uk with details

We take fraud seriously and can investigate unusual patterns.

Customer can't find my business in Nearby

Check that your business:

  • Has been approved
  • Has a complete profile (address, category)
  • Has location services properly configured

If everything looks correct, contact support.
